Recordings and private client review
Status: partial feature, implemented locally. Live browser/device/storage verification and production rollout remain pending.
Capture an audio recording
In Recordings, start a new recording, optionally attach it to a case, and choose its purpose. Enter the participants, permission notes and acknowledgment. Court-hearing captures also ask for a court-permission reference. These fields record staff assertions; they do not verify court authorization or participant consent. A case-linked setup provides access to the separate participant-consent ledger.
The recorder chooses an audio format supported by your browser. WebM, MP4 and Ogg are capture candidates; recovery downloads use the matching extension (for example, .m4a for audio MP4). If no supported format is available, capture stops before requesting the microphone.
Record and add bookmarks for moments you want to revisit. Paused time is excluded from elapsed recording time. System-date adjustments do not change recording durations or bookmark offsets. After stopping, the app uploads directly to private storage, then requests server verification. Keep the tab open until verification finishes. While uploading or awaiting verification, Download recording preserves a local copy. If verification is queued, use Check verification shortly afterward. If upload fails, retry using the same recording. If media verification succeeded but bookmark saving failed, retrying saves the metadata without replacing the original media. The current upload limit is 200 MiB; the private storage and scanner services must be configured.
Capture now prepares encrypted browser storage before recording begins. It requires a supported browser with Web Locks/IndexedDB and administrator-configured recovery encryption. A storage failure stops capture and asks you to download the in-memory audio. If local saving stalls, capture stops and Download captured audio becomes available while saving remains pending. Download a copy and keep the page open; upload and cleanup wait for storage to finish. Only committed chunks can be recovered later; browser storage clearing, eviction, device loss and unavailable keys can still prevent recovery. Hour-scale and browser-process-crash reliability are not yet established.
Recover audio on this device
Return to New Recording in the same browser and profile. If encrypted local copies exist, select Recover recording while signed in as the original creator. The app checks access before decrypting. Recovery does not upload automatically: download and review the recovered portion, then choose Retry upload. Another tab holding that recording must release it or close first.
Recovery merges saved bookmarks with existing bookmarks. If a concurrent edit changes them, retry; the app keeps the local copy. Existing notes and review status are preserved, and Open recording continues review in the existing recording.
A local copy is removed only after server verification, bookmark saving and a matching capture-report acknowledgment. This also applies to interrupted recordings: their device-reported details remain with the server recording. If report saving fails, keep the download and retry; verified media is not uploaded again. To remove a selected local copy deliberately, acknowledge that you saved a copy or no longer need it, then select Discard local copy. This does not delete uploaded media. Empty recoveries cannot be uploaded but can be discarded.
Share a recording with the case client
- Attach the recording to the correct case and wait for media verification to finish.
- Open that case's Recording sharing page and select Share recording.
- Choose the uploaded recording and a client-facing title.
- Select Playback or Playback and download. Set expiry and an optional limit on playback/download requests.
- Select Publish to client portal. This does not send a notification.
Only media with a matching server scan receipt can be published or played. For an older recording, open its detail page and select Verify media. This queues verification of the existing original without replacing it. Use Check verification while pending. A rejected original remains unavailable. Read-only staff can view status but cannot request verification. The scanner and storage services must be configured.
The recipient is the case's primary client, who must sign into the client portal. The existing portal branding applies. The client opens the case and finds Shared recordings. Internal transcript, notes and permission records are not included with the media share.
Playback links expire quickly. If seeking stops working, the client can request fresh playback. Each new playback or download request counts toward the configured limit; this count does not prove the client watched the recording. Revoking a share prevents new links, but an issued link can remain usable for up to 60 seconds. Buffered or downloaded media cannot be recalled, and playable media can be copied even without a Download button.
Use Revoke to stop new access while retaining the recent request history. Delete removes the grant and its history. Existing case-metadata shares from the older implementation are listed as unavailable; create a new deliberate portal share to grant access. Moving a recording or changing the case client does not transfer the old grant to another case or recipient.
Other useful workflows
| Use | Intended result | |---|---| | Intake interviews | Replay the client's account while reviewing staff notes | | Case-update videos | Explain next steps inside the private client portal | | Witness preparation | Bookmark issues for attorney review | | Expert consultations | Keep opinions linked to the recorded discussion | | Site walkthroughs | Preserve dated audio/video observations with the case | | Attorney dictation | Capture a first account while details are fresh | | Client recovery diaries | Retain dated, explicitly client-reported experiences | | Internal training | Share approved demonstrations and process explanations | | Hearings and depositions | Capture permitted proceedings for reviewed notes, once long-session reliability is proven |
Timestamped staff notes are available during playback in the local implementation; reviewed transcripts and live-capture notes remain follow-up work. Live transcription, reliable speaker identification, durable hour-scale recording, unified screen/camera capture and certified deposition records are not established by the current feature.
Retrying verification of an older recording
If verification stops or its status service is unavailable, the recording detail page offers Retry verification. This resumes checking the existing original; you do not need to upload a replacement. Playback stays unavailable until verification succeeds. A rejected original remains unavailable and is not treated as a temporary service failure.
Microphone interruptions
A microphone that temporarily stops providing input shows an input-unavailable warning. If the device disconnects, the recorder fails, or the browser stops capture unexpectedly, CaseSolo finishes the captured portion and shows an interruption notice through the current upload and review steps. Download and listen to that portion before relying on it; it may be incomplete or unplayable after a recorder error. Starting another recording is required to capture subsequent audio.
This detects browser track/recorder events. It does not prove that speech is audible, recover audio lost before a browser crash, or make a long proceeding crash-safe. Interruption details are saved in the encrypted checkpoint when storage remains available, and restored on this device. After media verification, the capture page saves a device report with the recording before removing the local copy. An unavailable store cannot preserve the latest warning before upload.
Capture reports
When a capture report is present, the internal recording detail page shows the device-reported interruption or completion and when the server saved it. This is separate from transcript review and the permission acknowledgment. The capture/recovery page submits this report after media verification and keeps the local copy until the server returns a matching acknowledgment. Conflicts and unavailable report storage leave the copy available for download and retry.
Add notes while reviewing playback
Open a verified recording, move playback to the relevant moment and select Add note. Enter your observation and choose Save note. The note records the playback timestamp, staff author and media version. Select a saved timestamp to return to that moment. Notes are private to staff; sharing the recording with a client does not publish these notes.
If saving fails, the editor keeps your text. Retry Save note without changing it to avoid creating a duplicate after an uncertain response. Use Refresh notes to see concurrent changes. A draft tied to replaced media stays visible but cannot be saved against the new version; copy it before discarding it and reviewing the replacement. Saved notes from a different media version remain visible with their seek links disabled. Saved notes also remain readable when playback is unavailable. Seeking is disabled until audio is available; an open draft stays in the page.
Drafts are kept only in the open page. Copy unsaved text before leaving or reloading. Each note supports 2000 characters, with up to 100 notes per recording in this version. Read-only staff can read and navigate notes. Editing or deleting saved notes and adding notes during live capture are not yet available.
Export saved notes
Select Export saved notes to download a JSON snapshot of the recording's saved staff notes. It includes timestamps, author attribution, the media fingerprints associated with each note, and the export time and staff ID. Notes tied to an older media version remain in the file with their source-match flag. The export fetches the latest saved notes; text still in the editor is excluded and stays in place. Read-only staff may export notes.
The file contains private staff observations and is not a certified transcript or a signed audit history. It does not contain the recording media, transcript, or a playback link. A failed export leaves the draft open so you can retry.
When a local recovery copy contains captured notes, the recovery page shows them alongside the pending recording. Retry saves those notes before removing the local recovery copy. A note-saving error leaves the audio and notes available; retry does not re-upload audio that was already verified. Downloading the audio does not include the notes. Discarding the local copy removes its local notes too. Use Add live note during recording or a pause to start a timestamped note. Saving confirms storage on this device; notes sync after the audio upload. Stopping or a microphone interruption also queues nonempty draft text. A hard browser/process exit can lose text that has not committed. The initial limit is 100 notes per recording, with 2,000 characters per note.
Select Download captured notes while an upload is pending or failed to save a separate JSON backup. It includes the note IDs, text, timestamps and basic recording references. The file is labeled as a local copy whose server synchronization is unconfirmed. Download the audio separately. Downloading notes leaves the browser recovery copy and upload retry available; it does not import notes elsewhere or certify a transcript.
